Know who's on the clock, what each truck costs, and prove it.

Milepost is the timekeeping and accountability platform for crews that work outside: public-works departments and private field crews alike. Clock-ins from the phones your crew carries, geofenced to the job. Every truck's true cost per hour. A tamper-evident record an auditor can check.

A free iPhone and Android app (in pilot). No paper timesheets. Runs on the phones your crew already carries.

Milepost in one minute

A town crew’s pay period, start to finish: clocking in, the wall station, the review queue, time off, what each truck costs, and closing out with every hour coded to its fund.

  1. [A paper timesheet, out of focus.] Your crews don’t work at a desk. So why is their time clock still on paper?
  2. [The Milepost logo.] Meet Milepost.
  3. [A phone clocks in at 7:02 AM. The punch carries the time, the place and the phone.] Crews clock in from the phone they already carry. Time, place, and device on each punch, or a flag if one’s missing. Location only while they’re on the clock.
  4. [A wall-station tablet takes a PIN, then a photo. In the office, a person compares it with the photo on file.] No phone? The wall station takes a PIN and a photo with every punch, for the office to check against the one on file.
  5. [The review queue lists flagged punches. A correction keeps the original time, struck through, beside the new one.] Anything unusual comes straight to you. Corrections never erase the original.
  6. [A time-off request is approved, and the leave balance updates.] Time off, requested and approved in one place.
  7. [The fleet register shows each truck’s cost per hour. The loaner desk shows who has the brush chipper.] Every truck and tool: what it costs an hour, and who has it right now.
  8. [Timesheets signed, the pay period closed, hours by fund, and the period’s CHIPS-eligible hours.] When the pay period ends, sign the timesheets, close it out, and every hour is already coded to its fund, with CHIPS hours counted.
  9. [The crew board, a phone and the wall station together.] Know who’s on the clock, what each truck costs, and prove it.

Run a private crew? Watch the contractor version.

One platform, two kinds of crew

One system for crews in the field, whether you answer to a Board or a bottom line.

Milepost runs the same timekeeping and accountability engine for everyone. Towns code hours to funds and mark CHIPS work; private crews code hours to jobs and cost codes. One login, one source of truth.

For towns & public works

Hours land coded to the right fund and budget line, with CHIPS-eligible hours marked. The audit trail is ready for the Board and the Comptroller. Meeting minutes are here now: upload the meeting’s recording or transcript, then review and approve the minutes drafted from it. Coming soon: syncing straight from a meeting recorder, and a citizen transparency portal and public-records desk on the same data.

For private crews & contractors

Clock hours to a job and a cost code, not a spreadsheet. DVIR pre-trips and true cost-per-hour keep equipment honest, and the hours on each job are there while the work is fresh, so you stop paying for hours nobody can prove.

Mobile GPS time clock

Timekeeping that survives the field

Your crew clocks in from the phone in their pocket. Each punch is geofenced to the job, stamped to a device, and honest about where and when. The day's tasks are on the same screen they clock in from.

Geofenced clock-in. A punch knows the site it happened on. The check covers the clock-in, not the whole workday.
Device-stamped. A punch from a phone that isn't the worker's own flags itself.
Offline-tolerant. No signal at the transfer station or the back forty? Punches taken without signal are saved on the phone and sync later. Any that reach Milepost more than 10 minutes after they were taken are flagged as sent late.
Wall station. A shared tablet in the garage takes a PIN and a photo with each punch, for the office to check, so crew without the app can clock in too.

Crew accountability

See who's working, and what needs a signature

See who's on the clock, on what job, and where each phone last reported. Off-site punches, foreign devices, and unverified time surface themselves in a review queue instead of hiding in a spreadsheet, so the exceptions come to you, not the other way around.

Live crew board. On the clock, hours today, flagged punches, approvals due, all at a glance.
Review queue. A guided pass over exactly the punches that need a human: foreign device, off-site, delayed sync.
Correct by supersede. A fix is a new, reason-stamped entry. The original never disappears.
Related-party sign-off. A timesheet can't be released until someone who isn't a declared relative of the worker signs it.
Job & code aware. A clock-in carries the job or cost code picked when the shift starts, so nothing is rebuilt at month-end.

Know what every truck actually costs

Open any asset and see the whole story on one page, not a row in a spreadsheet. This is the number that disappears from a paper system, put back where the crew, the mechanic, and whoever signs the checks can all see it. Works for a plow truck charged to a fund, or a skid steer charged to a job.

What an hour of this truck costs

Fully burdened · illustrative figures

Operator, loaded $32.40
Fuel $21.30
Parts & shop $14.60
Ownership reserve $12.40
Insurance & reg. $2.05
Fully burdened $82.75 / hr

Catch the breakdown before February

A defect a driver reports on a pre-trip comes to the office for review, and a work order keeps the repair in view until a mechanic closes it, so you see what the fleet owes before it becomes a breakdown mid-storm. One asset page pulls together:

Hours this year & meter reading
Fully-burdened $/hr breakdown
Deferred maintenance, reported and not yet fixed
Last pre-trip & service due dates
Maintenance log & costs
Acquisition, funding & who's had the keys
The record

A payroll record that shows its work

Milepost keeps an append-only, hash-chained log of every change: every punch, correction and approval. A punch is never edited in place, and no one can delete one. When the auditor asks how a number was reached, the answer is a chain that verifies, not a story.

Append-only
every write in the chain
Checkable
verify the chain any time

Payroll hours & job codes

Hours arrive already coded to the right line

Because the fund or cost code is chosen when the shift starts, hours come out coded to the fund, the budget line, or the job, not reconstructed at month-end. See the hours worked on a job while the work is still fresh: a road sweep, a shoulder repair, a day's work on a job site.

Security & trust

Built for records that have to hold up

Government and business records carry a higher bar. Milepost is built to meet it, and your data stays yours.

Hosted in the United States. Data is encrypted at rest by our hosting provider. This covers the app and its database; recordings and files a town uploads for its minutes are kept in a separate file store. It’s encrypted in transit too.
Role-based access. Five built-in roles, including an Auditor seat that lets the board see the record without changing it, and your town can adjust what each one may do.
Tamper-evident. Every change to the time and pay record is hash-chained, and no role can delete it.
Your data is yours. Milepost hosts it for you and will provide a full export within 30 days of a request.
Support on the record. Milepost staff see time, pay and location records only in a support session your audit trail records.
A daily fingerprint. Each day Milepost checks the record end to end and emails its fingerprint to your Auditors, so a rewritten history can be caught.

Questions

The things crews and Boards ask first

Are you GPS-tracking my crew all day?
Only while Milepost has them on the clock. When a crew member is clocked in, Milepost drops a location breadcrumb as they go, usually about every 250 feet while they're moving, to feed the live crew map and let the yard replay the on-duty route if a question comes up. If a punch reaches Milepost late, or is corrected later, the points recorded in between stay on that day's route. Those breadcrumbs are an operational trail, kept apart from the tamper-evident time record, and they clear after 90 days, though backup copies can last up to about 15 months. That on-duty-only line follows New York's highest court in Cunningham v. NY State Dept. of Labor (2013), which found GPS tracking of a state employee went too far because it also covered evenings, weekends and vacation. Tell your crew in writing before tracking starts.
Does my crew have to download an app?
Yes. Milepost is a free iPhone and Android app (in pilot), on the phone they already carry. It's a native app on purpose: it lives as an icon on the home screen, keeps the on-duty trail going in the background on Android (on iPhone, an approximate route with the phone locked, if you allow it), and saves punches taken without signal to sync later. For crew with no phone of their own, a shared wall station in the garage takes a PIN clock-in, so nobody is left out.
What happens when there's no signal?
Punches taken without signal are saved on the phone and sync when signal comes back. Any that reach Milepost more than 10 minutes after they were taken are flagged as sent late, so the record explains the gap instead of dropping it.
Will it work with our payroll?
Hours come out coded to fund, budget line or job. There's no payroll export yet: your payroll file is set up during onboarding from one of your preparer's past exports. Until then, the Board report downloads each person's hours as a CSV.
We still run paper timesheets. How hard is the switch?
Send us your crew, sites, fund or cost codes and pay rules and we load them. No data-entry marathon. Your crew can clock in from day one, and the audit trail builds as they do.
Is our data secure, and who owns it?
Hosted in the United States. Data is encrypted at rest by our hosting provider. This covers the app and its database; recordings and files a town uploads for its minutes are kept in a separate file store. It’s encrypted in transit too, with role-based access. Milepost staff see your time, pay and location records only during a support session, which your own audit trail records. Your town owns its data: Milepost hosts it for you and will provide a full export within 30 days of a request, and nothing is ever deleted behind your back.
Can towns buy through a cooperative or state contract?
Standard purchase order today, and we're glad to work with cooperative or state-contract purchasing where your town already has it in place. Ask us and we'll match your process.
