Milepost is a workforce tool used by an employer — a town or public-works department, or a private crew. Crew accounts are created by the employer, and the records you create in Milepost (punches, hours, work and fleet records) belong to that employer, who is the controller of that data. Milepost operates the software on the employer’s behalf. That shapes what we can delete directly and what has to be handled with your employer, below.
Email us. Send a note to [email protected] with the subject “Delete my Milepost data,” from the email on your account or with enough detail for us to identify you (your name and your employer). We may verify your identity before acting, so that no one can delete someone else’s record.
Or ask your employer. Because your employer controls the account, your administrator can also remove your access and request deletion on your behalf. If you’re not sure who that is, email us and we’ll help.
On a verified request, we close your account:
Milepost keeps a tamper-evident record for the employers it serves: changes are added, never written over, and each one is logged. So closing your account doesn’t erase your history. Your name stays on the time entries your employer must keep, and the log of earlier changes to your account, including your name and email address, stays part of your employer’s record for as long as the law requires (next section).
Time and pay records are business and, for public employers, government records. A town or company is often required by law to retain payroll and timekeeping records for a period of years (for New York towns, under records-retention and Town Law obligations; for employers generally, under wage-and-hour law). Where that applies, your employer — as the controller and legal record-holder — may retain those time and pay entries for the required period even after your personal account is deleted, and Milepost keeps them only insofar as it hosts them for that employer. Those records are retained for that legal purpose only and not used for anything else. If you asked us to delete your data, then once the law no longer requires your employer to keep those records, we delete them, along with your name and every log entry that names you.
We acknowledge deletion requests within a few business days and complete them within 30 days, unless a longer period is required to verify the request or to meet a legal obligation, in which case we’ll tell you. Our backups are kept for up to a year, so anything we remove or delete can stay in a backup for up to a year afterwards.
